1146 - School Secretary


JOB SUMMARY:    Under the direction of the principal, performs a variety of clerical and support work involving both specific routines and broadly defined policies and procedures; greets and interacts with the public, works cooperatively with staff, students, and parents, and performs other related duties as assigned.
QUALIFICATIONS:
Required:

  1. Any combination of training, education and experience equivalent to graduation from high school.
  2. Two years clerical/secretarial experience, including word processing.
  3. Ability to communicate effectively.


DESIRABLE:

  1. Previous experience in a public school setting or institution of higher education.
  2. Experience working with students and parents.


KNOWLEDGE AND ABILITY
General Knowledge & Abilities:

  1. Knowledge of modern office practices and procedures.
  2. Ability to maintain clerical records and prepare simple reports.
  3. Ability to learn and interpret rules, regulations, laws and instructions.
  4. Knowledge of and ability to use English correctly and appropriately.
  5. Ability to perform required clerical work accurately and within established timelines.
  6. Ability to operate a variety of office machines.
  7. Ability to utilize word processing, data base and spread sheet programs on the computer.

Specifically for this position:

  1. Ability to meet and interact with public and employees with tact, courtesy and discretion.
  2. Ability to compile information from various sources and type on a variety of forms.
  3. Ability to exercise independent judgment in the interrelation and application of standard practices and procedures.


ESSENTIAL FUNCTIONS This position may change or evolve in the future, but is not limited to the following:

  1. Meet and interact with public and employees in routine situations which require tact, discretion and courtesy.
  2. Provide a variety of clerical duties involving all but the just complex matters.
  3. Give information and interpretations of policies or procedures related to department or school activities.
  4. Establish, maintain and monitor accurate, neat and efficient electronic and manual filing systems.
  5. Sort and classify incoming mail and other information for efficient disbursement to appropriate recipients.
  6. Prepare letters, memoranda, reports, bulletins, handbooks, questionnaires, requisitions and other materials from marginal notes, rough drafts, verbal instructions or dictating equipment.
  7. Compile information from various sources on a variety of standardized forms.
  8. Assist in the orientation and training of the employees or volunteers.
  9. Prepare accurate minutes of meetings. (Not necessarily applicable) Ability to handle confidential information with complete security.
  10. Order/tally lunches daily and provide month-end summary. (Not necessarily applicable)    
  11. Gather and prepare appropriate attendance/accounting information.
  12. Maintain office bulletin board. (Questionable)
  13. Schedule and coordinate Individualized Educational Program (IEP) meetings. (Not necessarily applicable)
  14. Assist with and log, earthquake and emergency drills. (Not necessarily applicable)
  15. Enroll and discharge students. Request records from prior schools, distribute school records.
  16. Maintain classroom key distribution and record-keeping.
  17. Conform to district policy regarding attendance and absences.  Employee attendance must be adequate to perform the above listed essential job functions.
  18. Drive a car.
